Apply to the Executive Board

Chemistry Club executive board elections are held each year in the spring to determine the executive board for the fall. Thank you for your interest in applying! In order to run for an executive board position, you must have attended two club events in the past school year. The election form is due Friday, April 11th and elections will be held Wednesday, April 16th at 6:30pm in Matherly 0009.

The following roles are open:

President

Responsibilities

The President shall preside at all meetings, enforce the Constitution, approve all activities and expenditures of the club, act as the formal representative of the club, and perform all other duties pertaining to the office.  The President maintains contact with the main club supervisor and is responsible for planning all meetings and events (with the assistance of other officers). At least 24 hours prior to every meeting, the President is responsible for sharing the agenda with all officers.  In addition, the President manages the other officers of SCACS Executive Board and ensures the organization participates in its annual events. The President shall also maintain external communication by responding to email correspondence. Finally, the President shall provide weekly reports to the Secretary with the information that needs to be sent to the membership, and updated information for the website to the Technology Director.

Vice President

Responsibilities

The Vice President shall assume the duties of the President in the latter’s absence, and must not be graduating at the end of the term. The Vice President cooperates with the president to plan events for the club and is responsible for the same functions as the president, as the president sees fit.  The Vice President shall lead the planning of the annual Molecular Mixer and End of Year Banquet, and is responsible for American Chemical Society member recruitment. The Vice President may decide to organize and maintain the Mentor/Mentee Program. Additionally, they will preside over the Social Chair. Finally, the Vice President assists the club officers and club in any way possible.

Treasurer

Responsibilities

The Treasurer shall keep a record of all financial transactions. All expenditures must be approved. The treasurer is responsible for managing the club finances, including overseeing expenses made by the club and forwarding reimbursements to the faculty adviser as well as officers and members. Receipts must be presented for all items purchased.  The treasurer is also responsible for creating partnerships with organizations and are in charge of purchasing food and beverages for all club events, shall provide a budget update at each officer meeting, and preside over the Fundraising Chair (or organize all organization fundraisers with a minimum of 3 per semester).

Outreach Director

Responsibilities

The Director of Outreach will cooperate with and oversee all operations of the Outreach Coordinators and Outreach Chairs. The Director of Outreach will manage the Outreach email, ensuring prompt replies, keep a running list of Outreach Events with descriptions for the ACS annual report, ensure all Outreach tasks are completed by delegating duties without clear jurisdiction, ensure each Coordinator and Chair has the support they need, plan and lead biweekly Outreach meetings, maintain communication with the President and Vice President, plan for bulletin board maintenance and closet organization, and resolve internal and teacher-group conflicts. The Director of Outreach will be considered the supervisor of the Outreach Coordinators.

Outreach Director

Responsibilities

Outreach Coordinators

Responsibilities

The Outreach Coordinators (3) will be elected into the role of Classroom Outreach Coordinator and Community Outreach Coordinator. The shared duties of these coordinators include the maintenance of the outreach closet supplies, matching of student volunteers and teachers as well as rematching when scheduling conflicts occur, creation of new labs, reformation of existing labs, and presiding over the Outreach Chairs. The specific duties of each position are as follows:

Classroom Outreach Coordinators (2)
Responsibilities

The Classroom Outreach Coordinator is responsible for the overall wellbeing of the Outreach program with respect to the club. The Classroom Outreach Coordinator is responsible for maintaining communication with the club, managing lab sign-outs and volunteer hours, hosting two informational sessions at the beginning of the semester, and managing the outreach budget.

Community Outreach Coordinator
Responsibilities

The Community Outreach Coordinator is responsible for the overall wellbeing of the Outreach program with respect to collaborating partners including other organizations and the Alachua County School system. The Community Outreach Coordinator is responsible for advertising the program to teachers, managing teacher sign ups, responding and planning community outreach events and science nights.

Secretary

Responsibilities

The Secretary shall keep a record of the proceedings of all meetings, keep a roll of members, facilitate all correspondence, and maintain the listserv. Maintenance of listserv includes adding or deleting email addresses and providing updates on SCACS events at least once per week. In addition, the Secretary is responsible for the SCACS Report that must be submitted to the ACS every year.  The Secretary is a representative of SCACS, the duties of which include recruiting members, answering questions, and corresponding with other representatives and University of Florida faculty.  Finally, it is the responsibility of the secretary to place notifications and announcements on UF listservs at the beginning of the semester so that the UF community is aware of SCACS events.

Historian

Responsibilities

The Historian shall document and record all club activities and achievements.  The Historian is responsible for reporting club pictures to the group page in a timely manner and maintaining the club’s Instagram page. In addition, the Historian is responsible for posting flyers advertising events, maintaining the display board, and maintaining the SCACS “Preview Board.”

Technology Director

Responsibilities

The Technology Director updates the UF SCACS website with new announcements, a current calendar, and pictures.  The Technology Director will maintain the Team Points System each semester. The Technology Director maintains the website in general. As such, this position requires a high level of computer competency.

Senior Advisor

Responsibilities

The Senior Advisor shall be voted in by the board as soon as possible after a new board is elected. The Senior Advisor must be at least a fourth year who has previously served at least one year on the UF Chemistry Club Executive Board. The Senior Advisor will be tasked with the following duties: working closely with the President and Vice President to decide the direction the club is moving, deciding how to edit and improve events, brainstorming how to implement future events, resolving officer conflicts, and advising how to deal with general board issues. The Senior Advisor will decide on an independent project to pursue, which will be approved by the President and Vice President before the first officer meeting of each semester. Compared to other positions, this officer position must not necessarily be filled. If no officers themselves choose to run, or if the new board does not believe there is an officer with the necessary prerequisites with the proper experience and knowledge to meaningfully advise the board, the new board can choose to forgo the appointment of Senior Advisor.
